What we do with the details you give us, who else sees them, and the choices you have about it.

Who we are

This website is run by DL Gates & Access, based in Broughton Astley, Leicestershire. We are the controller of the personal data described here, which means we decide how and why it is used.

For any question about your data, or to exercise any of the rights below, email info@dlgatesandaccess.co.uk or call 0116 456 0473.

What we collect

When you use our enquiry form, we collect what you choose to give us:

  • your name, and your company if you give one
  • your phone number, email address or both
  • the postcode of the site, if you give one
  • the type of site, the service you are asking about and how urgent it is
  • your message

We ask for a site postcode to judge how far away the work is and what travelling to it involves. It is optional, and an enquiry without one is still an enquiry.

The form also records when the page loaded and includes a field hidden from people. Both exist to filter out automated submissions, and neither tells us anything about you.

If you call or email us directly, we collect whatever comes with that, such as your number or address and what you tell us.

Like most websites, our hosting provider keeps short-lived technical logs, such as IP addresses and browser details, to keep the site running and secure. We do not use them to identify you.

Why we use it, and our lawful basis

We use your details to:

  • reply to your enquiry and talk it through with you
  • arrange and carry out a survey, quotation or visit, if you ask for one
  • keep a record of the work and of what was agreed, including the safety and compliance paperwork a powered gate requires

Where you have asked us about work we might do for you, we rely on taking steps at your request before entering into a contract. Otherwise we rely on our legitimate interests in answering people who contact us and running the business. We have weighed your interests in doing that, and we use your details only in ways you would expect from having sent us an enquiry.

We do not use your details for marketing, we do not sell them, and we do not make decisions about you by automated means.

Who handles it on our behalf

We do not share your details with anyone to use for their own purposes. A small number of providers handle data for us, on our instructions only:

  • Twilio SendGrid delivers the enquiry form to our inbox by email.
  • Vercel hosts this website.
  • Google Workspace provides our email, so it stores the enquiries we receive.

Some of these are based in, or use servers in, the United States. Where your data leaves the UK it is protected by safeguards recognised under UK law, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.

We may also pass your details to a manufacturer or supplier where that is needed to answer your enquiry, for example to check a part for a specific gate motor. We tell you if that applies.

Cookies and tracking

This site sets no cookies, uses no analytics and does not track you across other websites. The typefaces are served from this site rather than fetched from a third party, so displaying a page here does not tell anyone else that you visited. If any of that changes we will update this notice first, and ask for your consent where the law requires it.

How long we keep it

We keep enquiries that do not lead to work for up to 24 months from our last contact with you, then delete them. Where we do carry out work, we keep the records for as long as we maintain the installation and for six years after our last visit, because that is how long they may be needed for legal, insurance, tax and accounting purposes.

Force-testing certificates and other safety documents are kept with the installation record for the same period. They are evidence that a powered gate was compliant on the day it was handed over, and they are worth having if a question is ever raised about it.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct anything wrong or incomplete
  • ask us to delete your data
  • ask us to restrict how we use it
  • object to us using it where we rely on legitimate interests
  • ask us to transfer data you gave us to you or someone else, where we rely on steps before a contract

Some of these depend on the circumstances, and we may need to keep records we are required to hold for safety or tax reasons. To use any of them, email info@dlgatesandaccess.co.uk. There is no charge and we will reply within one month.

If you are unhappy with how we have handled your data, please tell us first so we can try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

We will update this notice if the way we use personal data changes. The date at the top shows when it was last revised.
